What personal data does the StwDo process and for what purposes?

We process the data that you provide to us for the consultation and that arises as part of the consultation, in particular name, contact details, date of birth, university and data on your studies, your consultation request and minutes of the consultations.We use your data to carry out the consultation and to fulfill our legal obligations, in particular retention obligations. In addition, the data is used to create statistics.The evaluation is created internally, the statistical data is anonymous and does not allow any conclusions to be drawn about individual people being advised.This is used to evaluate the frequency of use and to optimize our consulting services.

What is the legal basis for this?

The legal basis for data processing is your consent to the consultation in accordance with Art. 6 Para. 1 Letter a GDPR and Art. 9 Para. 2 Letter a GDPR.The use of consultations is voluntary, and the provision of data for the purpose of consultation is also voluntary. The additional legal basis for our consultations is Art. 6 Paragraph 1 Letter e GDPR in conjunction with Section 2 of the North Rhine-Westphalia Student Union Act to fulfill our statutory social mandate for students.In the unlikely event of a legal dispute, the following applies: If the data is required in the context of a legal dispute to protect and exercise the legal positions of the Studierendenwerk Dortmund, data processing can take place on this legal basis to assert or defend claims, provided that the use of the data for this purpose is permissible and in compliance with all data protection regulations.

How long is the data stored?

Your personal data will be processed as long as this is necessary for ongoing advice or for possible subsequent advice or for the fulfillment of our legal obligations.Personal data that is no longer required for this purpose and for which there are no longer any retention obligations will be deleted.The retention period is up to 10 years after the conclusion of the consultation..

Who receives your data?

The employees of the advice center have access rights to your data.In accordance with your consent, an exchange will take place within the staff of the advice center (psychological advice center, social advice and emergency assistance).All information about your concern, your person, your professional or financial circumstances and the fact of your advice that we become aware of during the consultation is subject to confidentiality.If necessary, a representative will have access to contact details for organizational purposes (e.g. rescheduling appointments due to illness or vacation) in order to contact you by phone and email.Information will be passed on in exceptional cases if there is a legal obligation to do so or in the unlikely event of a legal dispute to protect our legitimate interests. Online appointment booking It is planned to enable online appointment booking.From then on, the following applies: If you use the online appointment booking service, you enter your name, contact details and desired appointment online on the stwdo.de website; reference is made to the website's data protection information.The data you enter will be used by us for planning and carrying out the consultation.Your email address will be used to send you a request to confirm your booking and then to confirm the successful booking of the appointment. If necessary, a reminder or rescheduling of the appointment will also be sent to your email address.

Counselling by video phone call

If we offer to conduct a consultation by video call for individuals or small groups instead of a personal consultation, you will need a device with internet access (e.g. a notebook) with an up-to-date browser, a camera and a microphone. When organizing and conducting the video call, the provider of the video call service processes personal data.The provider of the video call service provides information about this data processing on its website.If it is necessary for the implementation, the provider of the video call service will receive from us the data required to invite and organize access to participation (email address, date and time of the appointment, name if applicable). We do not record or record video calls.We would like to point out that the people being advised are not authorized to make a recording, and we do not give our consent to a recording of the consultation.

We use the data processing processes of a video call exclusively to carry out the consultation.If the chat function is activated and used, the data processing regulations of the video call provider apply.As far as technically possible, we will delete the chat history after the end of the video call, unless all persons concerned agree otherwise by mutual consent and expressly and voluntarily consent to the chat being stored.

What data protection rights do you have?
