We process anonymous opinion data and personal data (first name, surname, e-mail address) that we need in the context of fulfilling our legal social mandate, here to determine the satisfaction of our customers and to continuously improve our services. The data collection is mainly done by data entry in the online questionnaire. Your participation in the survey is basically based on anonymous opinion data and without any indication of personal data and is, of course, voluntary.

Server log files

In addition, so-called server log files and metadata on the survey are automatically generated when our questionnaires are called up.

Server log files are information that your browser automatically transmits to us and include the following.

• browser type/version
• Operating system used
• Referrer URL (the page linking to us, if applicable)
• Host name of the accessing computer (IP address)
• Time of the server request

This is exclusively data that is technically necessary in order to correctly deliver the survey you requested. They are mandatory when using the internet. They are also necessary for the operation, maintenance and monitoring of the proper functioning of the system. In the event of misuse, the server log files are used to create evidence to be provided by us. In the event of an error, these logs are used to make technical improvements.

The data from the server log files cannot be assigned to specific persons. The server log files are not merged with opinion data, nor are they statistically analysed. The data are stored for a period of 90 days and used exclusively for the purposes mentioned above.

Survey metadata

We also collect metadata on the survey in order to obtain general characteristics:

• Date of survey participation
• Start and end time of questionnaire processing
• progress of processing
• Devices used (clustered into the categories iPad/iPhone/Android/Desktop)

This data is linked to your answers and stored for an unlimited period of time, but of course does not allow any conclusions to be drawn about your person. They are used exclusively for the aforementioned purpose.

Use of cookies

Cookies are text files that are stored on your computer and saved by your browser. They contain the information whether and when you have already participated in a survey. Our questionnaires use session cookies as well as persistent cookies. Session cookies are only stored on your computer for the duration of an internet session. Persistent cookies remain stored for a longer period of time and register repeat participation within half a year. Cookies are used for the sole purpose of survey management.

All this data is ultimately collected for the purpose of properly conducting the survey, which allows us to capture your opinion. In addition, the optimisation of our services is required by the StWG NRW.

We process personal data in accordance with the provisions of the General Data Protection Regulation and other data protection laws.

a) Within the scope of your consent (Art. 6 Para. 1 a DSGVO).

b) In order to perform a task that is in the public interest and that has been assigned to the Studierendenwerk (Art. 6 para. 1 e DSGVO) in conjunction with §2 StWG NRW)

c) Within the framework of the balancing of interests to protect our legitimate interests (Art. 6 Para. 1 f DSGVO), which in this case is law enforcement in the event of attacks on our homepage / our network.

The anonymous survey data and the survey metadata are stored for an unlimited period of time and are used for long-term satisfaction evaluation.
If personal information is provided for the purpose of contacting the respondent, it is stored for 180 days for the purpose of contacting the respondent and then deleted. Personalised survey data is anonymised with the deletion of personal details and stored for an unlimited period of time as described.
Server log files are retained for a period of 90 days, persistent cookies for a period of 180 days after the survey.

The data is collected and processed by the company NETQUES as a processor commissioned by the Studierendenwerk Dortmund. Personal data such as name, address, telephone number or e-mail address are not collected unless you provide this information voluntarily, e.g. because you would like feedback on your feedback and provide your contact details for this purpose. We use your voluntarily provided data exclusively internally for the purpose for which you have given it to us. It will not be passed on to third parties. Your personal data is processed and used in accordance with the provisions of the DSGVO.

Our data processing takes place in Germany and in the EU, a transfer of data to a third country or an international organisation does not take place.
